User Roles

SenseiiWyze uses role-based access control to manage what users can see and do within your organization.

Available Roles

Admin-Executive

The highest permission level, designed for organization owners and executives.

Capabilities:

  • Full access to all features
  • Manage billing and subscriptions
  • Create and manage all users
  • Access all analytics and reports
  • Configure organization settings
  • Delete any user or data

Best for: CEO, Owner, CFO, Head of HR

Admin-Manager

Administrative access without billing capabilities.

Capabilities:

  • Invite and manage users
  • View all team members
  • Access advanced analytics
  • Manage teams and departments
  • Cannot access billing
  • Cannot delete Admin-Executives

Best for: HR Managers, Team Leads, Department Heads

Member

Standard access for most team members.

Capabilities:

  • View own dashboard and progress
  • Complete assessments
  • Access learning resources
  • View team (if assigned)
  • Limited analytics access

Best for: Most employees, Individual contributors

Learner

Limited access focused on learning and development.

Capabilities:

  • View personal dashboard only
  • Complete assigned assessments
  • Access learning materials
  • Track own progress
  • Cannot view other users

Best for: Training participants, New hires in onboarding

Changing User Roles

Who Can Change Roles

  • Admin-Executive can change any user's role
  • Admin-Manager can change Member and Learner roles only
  • Members and Learners cannot change roles

How to Change a Role

  1. Go to Users
  2. Click on the user's name to open their profile
  3. Click Edit or the role dropdown
  4. Select the new role
  5. Click Save

Note: Role changes take effect immediately.

Role Assignment Best Practices

  1. Principle of least privilege - Assign the minimum role needed for a user's responsibilities
  2. Limit Admin-Executives - Keep this role to essential personnel only
  3. Use Admin-Manager for HR - Allows user management without billing access
  4. Review roles regularly - Audit permissions when responsibilities change

Special Considerations

Role Downgrades

When downgrading a user's role:

  • They immediately lose access to restricted features
  • They retain their data and progress
  • They may need to adjust their workflow

Role Upgrades

When upgrading a user's role:

  • New features become immediately available
  • Consider providing guidance on new capabilities
  • No data is lost during the transition

Security Recommendations

  1. Protect Admin-Executive accounts - Use strong passwords and enable 2FA when available
  2. Audit admin actions - Review admin activity regularly
  3. Document role assignments - Keep records of who has elevated access and why
  4. Regular reviews - Quarterly review of all admin-level users
