Deleting Users

Remove team members who no longer need access to your organization.

When to Delete Users

Consider deleting users who:

  • Have left the organization
  • No longer need access to SenseiiWyze
  • Were added by mistake
  • Have duplicate accounts

Who Can Delete Users

Note: Admin-Managers cannot delete other Admin-Managers or Admin-Executives.

How to Delete a User

  1. Click Users in the main navigation
  2. Find the user you want to delete
  3. Click the menu or Delete button
  4. Review the confirmation dialog
  5. Type the user's name or email to confirm
  6. Click Delete User

What Gets Deleted

When you delete a user:

What's Retained

For compliance and analytics purposes, some anonymized data is retained:

  • Assessment completion records (anonymized)
  • Aggregate team statistics

This data cannot be linked back to the deleted user.

Immediate Effects

Once a user is deleted:

  1. They cannot log in
  2. Active sessions are terminated
  3. Their seat is freed
  4. They disappear from user lists
  5. Team counts update automatically

Deleting Invited Users

To remove someone who hasn't accepted their invitation:

  1. Go to Users > Invited
  2. Find the invitation
  3. Click Cancel

This frees the seat without any data to clean up.

Bulk Deletion

To delete multiple users at once:

  1. Go to Users
  2. Select users using checkboxes
  3. Click Bulk Actions
  4. Select Delete Selected
  5. Confirm the action

Caution: Bulk deletion cannot be undone. Double-check your selection.

Recovery and Restoration

Deleted users cannot be restored. If you delete a user by mistake:

  1. The user must be re-invited
  2. They create a new account
  3. Previous data (scores, progress) is not recovered
  4. They start fresh in the system

Before Deleting

Consider these alternatives:

Changing Roles

If the user needs limited access:

  1. Change their role to a more restricted level
  2. They retain their data and history
  3. You can restore full access later

Temporary Suspension

Currently not available. Consider changing their role to the most restricted level instead.

Compliance Considerations

For regulated industries:

  • Data retention requirements - Check if you need to retain user data
  • Audit trails - Deletion is logged for admin accountability
  • GDPR requests - User deletion satisfies the "right to be forgotten"

Best Practices

  1. Verify before deleting - Confirm the user should be removed
  2. Communicate first - Let the user know they'll lose access
  3. Export data if needed - Download any reports before deletion
  4. Document the reason - Keep records of why users were removed
  5. Review regularly - Periodically audit for inactive users to delete

Common Questions

Q: What happens to their team? The team continues without them. If they were a coach, you may need to assign a new one.

Q: Do I get the seat back immediately? Yes, the seat is freed as soon as the deletion completes.

Q: Can the same email be re-invited? Yes, you can invite the same email address again if needed.

Q: What if they're in the middle of an assessment? Their progress is lost. Wait until they complete if possible.

Offboarding Workflow

For employee departures, follow this workflow:

  1. Export their data if needed for records
  2. Reassign their teams/responsibilities
  3. Delete the user
  4. Notify relevant stakeholders
  5. Document in your HR system
